How to Save a Resume as a PDF (Word, Google Docs, Pages, Canva)

You spent hours getting the spacing on your resume exactly right. Then you email the .docx, and the recruiter opens it on a machine that doesn't have your font — so it substitutes another one, your careful one-page layout spills onto a second page, and a bullet list wraps in the wrong place. Why PDF is the right format for a job application
Three concrete reasons, not just habit:
- Layout is locked. Margins, columns, fonts, and page breaks are frozen. No re-flow, no font substitution, no "why is there a blank page 2."
- It opens everywhere. Windows, Mac, phones, and web previews all render PDF natively. A .docx can trip up anyone without Word.
- ATS systems read it fine. Modern Applicant Tracking Systems parse text-based PDFs without trouble. The old advice to "always send .docx for ATS" is outdated — as long as your PDF has real, selectable text (not a scanned image of a resume), it parses cleanly.
The one real caveat: if a specific job posting explicitly asks for .docx, follow the instructions and send .docx. Otherwise, PDF.
Save a resume as PDF from Microsoft Word
The most common starting point.
Open your resume in Word
Desktop Word (Windows or Mac) or Word on the web all work.
File → Save As
Pick the folder, then in the Save as type dropdown choose PDF. On Mac it's File → Save As → File Format: PDF.
Choose 'Standard' quality
Leave it on Standard (publishing quality). "Minimum size" can soften text — you don't want that on a resume.

Save a resume as PDF from Google Docs
Google Docs exports a faithful PDF directly — no add-ons.
- Open the resume in Google Docs.
- File → Download → PDF Document (.pdf).
- It saves to your Downloads folder.

Save a resume as PDF from Apple Pages
Pages is on every Mac and iPhone.
- Mac: File → Export To → PDF…, choose image quality Best, then Export.
- iPhone/iPad: tap the ••• menu → Export → PDF.
Don't use Print → Save as PDF for a resume you'll upload — Export gives you a cleaner, properly tagged file.
Save a resume as PDF from Canva
Canva resume templates are popular, and their PDF export is good — but pick the right option:
- Share → Download.
- File type: choose PDF Print (not PDF Standard) for the crispest text.
- Download.

Keep the file small enough to upload
Job portals and email both have limits. Many application forms cap uploads at 2 MB or 5 MB, and a resume with a photo or a graphic header can blow past that.

A quick pre-send checklist
- Filename:
Firstname-Lastname-Resume.pdf, notresume_final_v3(2).pdf. It's what shows up in the recruiter's file list. - Selectable text: open the PDF and try to highlight your name. If you can select it, the ATS can read it. If it highlights as one solid image, it's a scan — that needs OCR first.
- Right size: under the portal's cap.
- One file: if a posting wants resume + cover letter in a single PDF, combine them with Merge.
