Why PDF is the format you share
A quick why before the how. A .docx renders differently depending on installed fonts and Word version. An .xlsx prints differently on every machine. An HTML page depends on the browser. A PDF doesn't: the layout, fonts and page breaks are baked in, so what you see is exactly what every recipient sees — on Windows, Mac, Linux, iPhone or a courtroom projector. Nobody needs Office, and nobody can "accidentally" retype a number. That's why forms, invoices, contracts and résumés travel as PDF.
Word documents (.docx, .doc) → PDF
The most common conversion there is. Upload to Word to PDF and download the result — fonts, headers, footers and page numbering come out exactly as the document renders. Excel spreadsheets (.xlsx) → PDF
Spreadsheets are the format where conversion goes wrong most often, because a worksheet has no inherent "page" — a 40-column sheet has to be cut into pages somehow. Excel to PDF handles the pagination for you. If specific columns must stay together, set the print area and scaling in Excel first (Page Layout → Print Area, and "Fit Sheet on One Page" under scaling) — those settings are respected in conversion.
PowerPoint presentations (.pptx) → PDF
PPT to PDF turns each slide into one PDF page — the standard way to send a deck to someone who might not have PowerPoint, or to lock a pitch so fonts and animation-final states can't shift. Web pages and HTML → PDF
For saving an invoice page, an order confirmation, or documentation: HTML to PDF renders the page and fixes it into a document. This beats screenshots — the text stays real (selectable, searchable) and long pages become properly paginated instead of one endless image. The browser's own Ctrl+P → Save as PDF is the quick alternative and works well for simple pages.
Markdown (.md) → PDF
Developers and note-takers live in Markdown, but you can't email a .md file to a client. Markdown to PDF renders headings, lists, code blocks and tables into a clean typeset document — README to shareable spec in one step.
Apple Pages, Google Docs, and everything else

The universal trick: Print → Save as PDF
For any format without a dedicated converter — a niche app, an old file type, an email — there's a trick that always works: if the app can print it, your OS can turn it into a PDF.
- Windows 10/11: Ctrl+P → choose printer "Microsoft Print to PDF" → Print → pick a filename.
- macOS: Cmd+P → PDF button (bottom-left of the print dialog) → Save as PDF.
- Chrome / Edge / any browser: Ctrl+P → Destination: Save as PDF.
- iPhone/iPad: Share sheet → Print → pinch out on the preview → Share → Save to Files.
- Android: Print → Save as PDF.
The trade-off: the print pipeline knows nothing about your document's structure. Hyperlinks usually die, spreadsheets get chopped arbitrarily, and margins are whatever the print driver decides. It's the fallback, not the first choice.
