The top table is the plan. Ten rows cover travel there and back, accommodation, food and drink, local transport, activities and tickets, insurance, documents and permits, shopping and gifts, phone and data, and other, with a total row at the foot. Three columns sit beside them: planned, actual and difference. Fill the first column before you go and the other two while you are away, and the difference column tells you where your estimates were honest.

The lower half is the part people actually keep up with: a fourteen-row log with date, where, what for, cash or card, and amount. Writing down the taxi and the two coffees is what makes the actual column real at the end of the week, and the cash-or-card column is the one that explains why the card statement never matches what you thought you spent.

No currency symbol is printed anywhere, so the sheet works for any trip and any currency; a currency field at the top is yours to fill in. Three more fields at the foot take what you have spent so far, what is left, and what that leaves per day from here. Every cell is fillable, so you can plan on screen and print the log for your bag. One page, US Letter or A4.

How to use it

  1. 1

    Download and set the currency

Choose US Letter or A4, then fill in the trip, the dates, the travellers and the currency you are budgeting in.

  2. 2

    Plan before you go

Put your estimate for each of the ten categories in the planned column and total it, so you leave with a number in your head.

  3. 3

    Print or fill it in

Print at 100% ("Actual size") so lines and boxes keep their exact spacing, or fill the form fields on screen in any PDF viewer.

  4. 4

    Log as you spend

A line a purchase in the daily log, then fill the actual column at the end of the trip and see where the difference went.
