Eight columns: who the gift is for, the occasion, the idea, the budget, what you spent, and tick boxes for bought, wrapped and sent. Choose 22 rows for roomy handwriting or 30 to cover a large family and a long season. Because the occasion has its own column, one sheet can carry a whole year of birthdays and anniversaries rather than one holiday, which is also how you avoid giving somebody the same thing twice.

The three tick boxes track the part that goes wrong. A gift that is bought is not wrapped, and a gift that is wrapped has not necessarily been posted. Three columns across the row tell you at a glance which stage each present is at, and which parcels still have to reach the post office before the last posting date.

The budget and spent columns sit side by side so the gap is visible while you can still do something about it. Totals for budget and spent, and a line for how many gifts are left to buy, run along the bottom of the page. Every cell, both header lines and all three tick boxes are PDF form fields, so you can keep it on a phone while shopping or print it and carry it in a bag. One page, US Letter or A4.

How to use it

  1. 1

    Pick the number of rows

22 rows for comfortable handwriting, 30 for a long list. Then choose US Letter or A4.

  2. 2

    List people before ideas

Fill the who and occasion columns first and set a budget for each one, so the ideas arrive inside a number instead of around it.

  3. 3

    Print or fill it in

Print at 100% ("Actual size") so lines and boxes keep their exact spacing, or fill the form fields on screen in any PDF viewer.

  4. 4

    Tick in three stages

Bought, then wrapped, then sent. Add up the spent column as you go and keep the running total in the box at the bottom.

Yes. Put the occasion on the line beside the title and leave the occasion column empty, or use that column for the date you need each gift by instead.
