Time blocking only works when a block can be any length, so this sheet keeps the writing area open instead of cutting it into rows. The left edge is a ruler: sixteen hours from 6 am to 9 pm, with the hour marked in bold, quarter-hour ticks cut into the edge and a faint half-hour line crossing the column. Next to it is a single wide column where you draw a box around the time a task owns and colour it in.

The panel on the right is what gives the colours meaning. Eight legend rows each pair an empty square — colour it with whatever pen or highlighter you are using — with a line for the category it stands for: deep work, admin, meetings, errands, rest, whatever your week is made of. Under it sit six must-do lines with checkboxes and a ruled notes area.

The date, every hour's block field, the eight category names, the six must-dos and the notes panel are all fillable, so you can type a plan and print it, then colour the blocks by hand. One page, US Letter or A4, with light rules that leave room for a highlighter to read clearly over the top of them. Because the grid is drawn for each paper size, the hour spacing is right on both without any scaling.

How to use it

  1. 1

    Name your categories

Fill the eight legend rows with the kinds of work you do, and colour each square with the pen you will use for it.

  2. 2

    Block out the day

Draw a box in the wide column from the start of a task to its end, using the hour ruler and quarter-hour ticks to place the edges.

  3. 3

    Print or fill it in

Print at 100% ("Actual size") so lines and boxes keep their exact spacing, or fill the form fields on screen in any PDF viewer.

  4. 4

    Colour and review

Shade each block in its category colour, then use the notes panel to record what actually happened.
