Each row is one task. The four left-hand columns record what it is, who owns it, when it starts and when it ends; the week columns to the right are where the bar goes. Alternate weeks carry a very light tint so you can count across to week nine without losing your place, and the cells are deliberately empty of form fields because a bar drawn across four cells with a highlighter says more than four separate ticks.

Choose eight weeks for a short delivery or twelve for a quarter. Eight weeks gives each column about 50 points of width, twelve gives about 33, and in both cases sixteen task rows fill the page at roughly 29 points each — enough to write a task name legibly and still shade a clean bar. The task column takes about a fifth of the width, which fits a real task name rather than an abbreviation.

The task, owner, start and end cells are fillable, so you can type the plan in a PDF viewer, print it, and mark the bars in the meeting. A line under the grid reminds everyone of the convention: shade one cell per week a task runs, and mark a milestone or a hard deadline with an X. One landscape page, US Letter or A4.

How to use it

  1. 1

    Choose the timeline length

8 weeks for a short project, 12 weeks for a quarter.

  2. 2

    List the tasks

Type each task with its owner and its start and end dates into the left-hand columns.

  3. 3

    Print or fill it in

Print at 100% ("Actual size") so lines and boxes keep their exact spacing, or fill the form fields on screen in any PDF viewer.

  4. 4

    Shade the bars

Colour in one cell for every week a task runs, and mark milestones with an X.

Sixteen rows. For a bigger plan, print two sheets and split the work into phases, or merge them into one file with pdfty's Merge PDF tool.
No — those cells are left empty on purpose so you can draw a continuous bar across them. The task, owner, start and end columns are fillable.
They are numbered W1 to W8 or W1 to W12. Write your own dates in the start and end columns so the numbering fits any project.
Yes. The chart makes no assumption about the kind of work; the week columns are simply eight or twelve equal slices of time.
No colour is needed — the grid is gray with a light tint on alternate weeks, so it prints the same on a black and white printer.
